Laboratories sometimes have sampling and testing procedures that rely on aliquoting. Aliquoting is splitting a sample into multiple other samples. Laboratories test these new samples and the results may determine if they test the parent sample or not. You can create aliquoted sample records in Veeva LIMS using the following methods:

If you configure planned aliquoting as part of your Spec Data, Veeva LIMS can automatically match the Lab Samples to the Spec Execution Sample Action and, if selected, automatically start the aliquoting as part of the Initial Auto Sample Action. The auto match logic works as follows for valid Lab Samples:

  • Batch Release Spec Execution: The system only completes sample auto matching for Lab Samples belonging to the Spec Execution of interest.
  • Stability Spec Execution: The system first attempts sample auto matching with Lab Samples belonging to the Spec Execution of interest, then with Lab Samples belonging to Spec Execution(s) from the same Lab Study where the associated Timepoint has Initial Timepoint = True/Yes.
  • The system processes Spec Execution Sample Actions in the following order:
    • Pull Sample Actions
    • *Aliquot Sample *Actions
    • Pull Sample Actions again to capture any Lab Samples generated by the previous actions for which Lab Tests can now be generated

    Vault sends the following notifications depending on the results of the Spec Execution Auto Sample Action job:

  • Success: All Spec Execution Sample Actions have been matched by job execution
  • Partial Match: At least one Spec Execution Sample Action has been matched, but at least one has not
  • No Match: The job executed successfully, but no Spec Execution Sample Actions were matched
  • Failure: The job was unable to successfully execute.

Change Analysis for Aliquoted Samples

When Version Verification and Completion Actions are run on Spec Data for Change Analysis, the following checks occur:

  • For Spec Data Sample Actions of type Aliquot Sample Action, ensure that the Sample Definition and Target Sample Definition fields are both populated.
  • For Spec Data Sample Actions of type Aliquot Sample Action, ensure that only one combination of Sample Definition and Target Sample Definition exists for a given Spec Data.

When a Spec Data record is versioned or a copy is made via the Create Design Data Copy action, Spec Data Sample Action object types of Aliquot are also copied using the standard version/copy logic.

Generate Aliquoted Sample

To create an ad-hoc aliquoted sample:

  1. Navigate to the Lab Sample record in question.
  2. Select Actions > Generate Adhoc Aliquoted Samples.
  3. Enter an Aliquot Count. This is the number of aliquoted samples to be created.
  4. Optional: Select your Core ID Population Choice. This determines how the Core ID of the sample is populated when you create an aliquoted sample.
  5. Optional: Select a Resultant Sample Plan and Resultant Sample Definition.
  6. Select Continue.
